STEP 1:

Please make sure your email settings are correct by reading & following the directions in the knowledgebase article titled "Email Client Settings".

STEP 2:

This may also be caused when you have your mail program set to use the POP3 protocol for retrieving mail and also have it set to try to check for new mail more often than 5 minute intervals.

The solution is to slow down your mail program's automatic logins by setting your mail program to check your mailbox every 6 or 10 minutes.

All POP3 mailboxes become locked whenever you login to them looking for mail. While a mailbox is locked due to a login, it cannot receive any new messages. Therefore, if you are logging into the mailbox more frequently than every 5 minutes, you may actually be delaying your receipt of new mail, since new mail cannot be delivered while you are checking for it.

To increase the time between automatic POP3 mail logins, click the following menu items in your mail program:

Outlook 2000 / Outlook 2003 / Outlook 2007
Click Tools, Options, Mail Setup Tab, Send/Receive and change the value for "Schedule and automatic send/receive" to every 10 minutes, then click OK.

Outlook Express 6 / Windows Mail (Vista)
Click Tools, Options, General, and change the value for 'Check for new mail every 10 minutes', then OK.

Netscape Messenger Mail
Clic Edit, Preferences, doubleclick Mail & Newsgroups, Mail Servers, Edit, and change the value in the "Check for mail every 10 minutes" field, then click OK.

Mozilla Mail
Click Edit, Mail & Newsgroup Account Settings, doubleclick your mail profile name to expand the items under it, Server Settings, change the value in the "Check for new messages every 10 minutes" field, then click OK.

STEP 3:

If you are still experiencing this problem after following the soulutions in the last two steps then more than likely you are having problems communicating with the email server.

The most common problem is that you are using all your bandwidth. This may be caused by having too many users for your internet connection speed or users are dowloading files which is using all your bandwidth.

Solution 1:

Our recommended solution would be try checking your emails again when you are 100% sure that no users are downloading files. If you do not get the password box pop show up again, then more than likely this is the issue & you need to speak to your ISP (internet service provider) about upgrading your broadband speed.
